3-Uni-Batch Invoice Reports

  1. There should be an invoice report added called "Invoice" added to the list (see 1.jpg)

  2. The invoice has the same filter fields as the "Cost Analysis" report.

  3. When pressing print a form comes up asking for:

  • Invoice Number

  • Invoice Date (defaults to today's date)

  • Terms (text box)

  • Due Date (selected from a date picker)

  • Notes

  1. On entering these details a report is produced in this format.

The "To " company is the company selected in the Company selection box - see 2.jpg

VAT is always applied. Set this as 20% and make configurable in the Defaults section of the system (Admin > System Setup etc).

The "From" company is the company of the current person logged in producing the report (i.e. the financial auditor's company in this case).

The *Payment" status - the options here are "Unpaid" (default) and "Paid"

In the Item Description include only the:

  • Apprentice

  • Standard

  • Amount** (for that period - based on the actual cost of the apprenticeship - see below for calculation ...)

**The actual cost is calculated from here - 4.jpg - (the Total Negotiated Price for the sum of the "Total Training Price" and the "Total Assessment Price" . Note the dates here have to be the same (they are not - so always take the Total training Price date as the default).

Invoices are always generated for the whole period. So a financial record date for the 2019 03 31 - would for the March period charge the entire month rate as the apprenticeship starts in that month.

Saving Invoice Details We will need to link each invoice back to the employee record so that if an employee is listed in the invoice then - from the employee record - there should be a link back to the invoice for the employee (we will be doing some other reporting with this data also at a later time).

So record for each invoice

  • To company

  • From Company

  • Invoice Number (defaults to the last entered invoice number plus 1)

  • Invoice Date (defaults to today's date)

  • Terms (text box)

  • Due Date (selected from a date picker)

  • Notes

And a linked table containing the payment details including:

  • Apprentice

  • Standard

  • Amount

Accessing these invoices will be done using the [Batch Reports] button - these batch invoices will also be listed in a new Invoices tab in the Financial Auditor login (after the review tab) - the filters and table information is as shown in 5.jpg.
