Unit Selection for Access Requests

Hey Jared, In testing the Access Request form, I think we may confuse the users by showing all units assigned to the tenant under both "Access Card" and "Keys," rather than just the units/areas that can be accessed via each method. For example, cabinets require key access, but the user would need to have card access to the Suite to get to the cabinet.

So, I think we may need to add "Access Control" radio buttons to the FM Units records to track how each space is accessed. Every unit would be either "Access Card" or "Key."

All units with key access should be shown in the "Key" selection menu.

All units marked as "Access Card" should be shown in the "Access Card" selection menu.

For the Property 900 units with key access, the associated suite number should be shown in the "Access Card" selection menu.

For Property 105 units with key access, the associated floor should be shown in the "Access Card" selection menu.

We'd also like the units to be visible under both "Access Cards" and "Keys" when the user opens the page.

Let me know when you've seen this, and I can walk through it with you to make sure we're on the same page.

    That all sounds reasonable. It will probably take about half a day of work to do, but should pay off for your customers and you.

    One follow-up question: What units do you want to show on the temporary access form?

    I’m in training until 4:00 today, otherwise I’d like to walk through this with you in person, but here’s a rough mock-up of what I had in mind, using Equinix as an example:

    Assign to Card: Floor 3 Floor 12 Floor 5 Floor 13 Floor 11 Building Access

    Keys: Suite 350 Suite 1200 Suite 500 Suite 1300 Suite 1100

    Since you used it as an example, I should note that we do not issue keys or card access to the roof – those keys have to be checked out from our office for temp use.

    I've got a new mockup for you that adds the third section like we talked about. I've got some further questions that need clarifying, though.

    1. Should the customer know what units in particular they want access to when they are filling this out?
    2. Does asking for a card that gets them to floor 15 get them exactly where they want to go?

    At this point I think there needs to be a sample tenant with their units filled out properly. If you could pick someone and change their unit access to be correct for their units, then I think that will help me figure out if we are on the right track.

    One thing I'm thinking is that maybe we don't need to designate cards vs. keys. If they do know where they want to go, then perhaps we just ask them what units they want to get to, and WBX takes care of implementing that. Simplifying things for customers generally leads to a better experience. We could probably even tweak Dynamics to handle that correctly based on FileMaker data, but don't hold me to that just yet :)

    Here's what I've come up with. It gives the user a list of the units they have access to, and asks them to check which ones they want. Below the unit list is a dynamically generated summary of what they will get. I am making an assumption that they will receive only 1 access card programmed correctly. It is re-calculated every time the user checks a unit box.

    I'll show this to the group tomorrow, but wanted to see if there's any feedback beforehand.

    I've taken the notes I got from our meeting and built in the unit interpretation per the legend. The format accounts for a cabinet, cage, or other. Let me know how it looks.
